Department of Medicine Weekly Roundup - March 7 - IT Alert: Managing Daylight Savings Time in Epic

Page 2 of 8: IT Alert: Managing Daylight Savings Time in Epic

When?

Sunday, March 9, 2025 at 2:00 AM

Why?

Daylight Savings Time (DST) is occurring on Sunday, March 9 at 2:00 AM.

Epic will automatically forward the time by 1 hour in system.

Who is impacted?

All users of Epic

What do you need to do?

General Considerations

  • Any calculations of length of time in Epic may reflect a longer duration due to the time change. Take this into account when using this information to make decisions for patients.
  • When placing orders that span DST, you will receive a warning to review and confirm the order schedule is appropriate.
  • Medication Administration
  • Epic automatically reschedules medication due times that fall within the 2:00 AM hour. Note that medications scheduled before and after DST are not adjusted.
  • DST may cause continuous medications to calculate volumes incorrectly. Infusion volumes should be manually calculated to ensure the total volume of medication administered is correct.

ASAP (Emergency Department)

  • Select ED Trackboard columns adjust based on DST and display the correct duration:
  • ED Visit Total Time
  • Storyboard Total Time Arrival to Depart
  • IP Arrival Waiting Time
  • Repeat tasks due between 3:00 AM and 3:30 AM will not appear right away in the narrator toolbox or in the To Do Column. They will appear an hour later during the 4:00 AM hour.
  • One-time procedure tasks scheduled right after DST (3:00 AM) do not appear in the narrator toolbox at the scheduled time. They appear when the window to complete them has passed. Review active orders after the time change to ensure all ordered procedures are performed at the correct time.

Stork

  • Labour length calculation: After signing the delivery summary, a clinician should correct the patient labour length in the obstetrics history activity.
  • OR cases: Change OR case tracking event times so that the amount of time between events is accurate, even if this results in the actual event times themselves being inaccurate.
  • Add a nursing note that specifies the actual length of labour events and OR case tracking events for the patient.

OpTime/Anesthesia, Cupid, Radiant, Lumens

  • A warning may appear when trying to file a medication volume for which the start and end instant falls within the DST event.
  • Time mismatch warning may appear in the flowsheet data or navigator.
