AI and analytics tools developed with the Data Science and Advanced Analytics (DSAA) team that involve patient data will be taken offline on Nov. 30, 2024, for Epic go-live. This is to ensure that our AI and analytics tools continue to work as they should when their source data changes over to the Epic system.

Some applications will be replaced by Epic’s built-in solutions, such as the Operations Centre. Others will be rebuilt to work with the new system, including CHARTWatch, the ED Wait Times Dashboard and ED Queue. Please see linked here the list of affected tools.

AI and analytics tools that do not use patient data, such as the ED Nurse Assignment tool and the MRI Tech Scheduling tool, will continue to operate after Epic go-live.

Before we can safely and responsibly run our AI and analytics tools again, we need to do data testing and model re-evaluation using real data that flows from Epic system after-go-live. Re-evaluation and future state will vary for each unique application. We will do as much as we can to minimize downtimes, however much of the real data required for testing and re-evaluation will not be available until go-live.

The DSAA team has begun to reach out to clinical champions and will continue to work with them to determine a specific re-evaluation plan for each of the affected applications. This will include:

  • Confirming if the AI and analytics tool will still be needed after Epic go-live
  • Collaborating on plans for data testing and model re-evaluation with Epic data
  • Discussing any contingencies needed to navigate the transition period

If you are a clinical champion for an AI or analytics tool on the list of affected tools and you have any questions, please reach out to your DSAA contact or [email protected].

Do you (or your staff) access the EMR for your research work? If yes, have you (or your staff) signed up for research EMR Training? In anticipation of the Epic go-live on November 30, 2024, we are requesting that if you (or your staff) require access to the EMR for your research work that you review the Research EMR course descriptions found here: Training Catalogue (page 146-147). It is ultimately the responsibility of the Research Program Manager/PI to ensure that their research personnel who require access to the EMR sign up and complete the appropriate research EMR training before the Go Live Date. Research personnel who have NOT completed the appropriate research EMR training will not be able to access the EPIC EMR after Go Live (until required training is complete). Please note there are limited spots/sessions for the in-person training. You can sign up for the Research EMR courses on the ELEVATE LMS at https://elevate.unityhealth.to/learn.

Epic Systems training materials are now available in Elevate, Unity Health's Learning Management System. Please see below for important information on next steps.

If you think you qualify for an exemption:

Please review and submit the exemption attestation in Elevate. You can watch this video for step-by-step guidance. If you meet the criteria, proceed directly to the end user proficiency assessment (EUPA) and login lab, both available in Elevate. If you don’t meet the criteria but have previous Epic experience within Canada, please send an email to [email protected], outlining your experience, and wait for the team to review and respond to your request.

You’ll have two attempts to score 80% or higher on the EUPA, or you’ll need to complete training. If you successfully complete the EUPA and login lab, please drop your existing training session(s) and register for a user settings lab instead. These labs will be offered across a variety of dates and times, with registration available in Elevate using this link. You MUST register for a user settings lab to trigger a section 3 maintenance of certification (MOC) credit. Instructions on how to unenrol from your training session(s) can be found in this tip sheet

If you DON’T qualify for an exemption:

Please log into Elevate to complete your pre-work, which includes e-learning, and prepare to attend your upcoming training session(s). If you haven’t registered for training yet, please do so ASAP. Physicians who don’t complete training before the training period ends on Nov. 22 will not be granted access to the new system when it launches on Nov. 30. There will be no training available during the go-live period.

Physicians who attend instructor-led training will complete their EUPA and personalization labs during their training session(s). Select physicians who will use Epic more peripherally (e.g. many family physicians) will complete virtual independent learning. These physicians do not need to complete any pre-class learning and can complete the EUPA and login lab at any time after they complete their course(s).

If you have any questions, please email [email protected] or visit the EPR System Training page on UnityNet. If you encounter any technical issues or concerns related to Elevate, please log a ticket in ServiceNow. The EPR Education team continues to receive a large volume of emails; ServiceNow tickets will be triaged and addressed more quickly.
